The first five minutes after voting closes

Paper ballots make the gap between the last vote and the first trophy the most stressful hour of show day. Closing looks different when the tally is already done.

The hand count

Ask anyone who has run a car show on paper ballots about the end of the day and you will hear about the same stretch of time: voting ends, awards are supposed to start, and in between sits a folding table where three volunteers sort slips into piles while the PA plays filler music. If a pile comes out close, they count it again. The awards run late, and the people doing the counting miss the part of the show they worked hardest for.

Ballots have to be collected, sorted by category, counted, and checked. Handwriting has to be argued over. A slip marked for car 87 in a class with no car 87 gets thrown out or guessed at. None of this is anyone’s fault. It is what hand counting costs, and the bill comes due at the worst hour of the day, after everyone is tired. (A gust of wind at the wrong moment can take a whole ballot box out of the running, too.)

Closing time on Car Show HQ

Voting on Car Show HQ happens on site while the show runs. Spectators scan the QR code on a windshield card, enter a car number, and cast one vote per category, with duplicate protection built in. Counting is not a phase that starts when voting ends. It has been happening all along.

Here is the same closing sequence, run both ways:

So closing changes from a task into a moment. The votes lock, and nothing can be added or changed after the cutoff. Category winners, Best of Show, and People’s Choice are already sitting in your results view, tallied. And because every vote is a record with duplicate protection behind it, a close result is a checkable result instead of a shrug and a recount.

Counting is not a phase that starts when voting ends. It has been happening all along.

The five minutes after close become what they always should have been: pull up the winners list, take a breath, walk to the microphone.

Calling awards

A few habits make the awards themselves land better, whatever software you run on.

Read winners from the live results screen rather than a hand-copied list. Transcription is where names get mangled, and the owner of a ’57 Bel Air will forgive a lot of things before they forgive their name said wrong over a PA.

Thank sponsors by name between categories. It is the one moment the whole field is listening, and in our opinion it is the cheapest sponsor renewal work you will do all year.

Announce People’s Choice last. Say it loud. It is the award the crowd picked, and it sends everyone home on the right note.

And put one volunteer on photos while the trophies move. Show pages on Car Show HQ keep a public gallery now, and the shot you will want in it next January is a winner grinning next to their fender, not the parking lot at teardown. Winners photographed at the mic also share those photos themselves, which is your show marketing itself while you stack chairs.

The winners list outlives the PA

With paper ballots, the results have a lifespan of one announcement and maybe a Facebook post somebody types up on Monday. On Car Show HQ, your show’s page stays at the same address permanently, and once you finalize, it carries a Winners section: every class winner with the car’s year, make, and model, the owner’s name, and the vote count or judged points behind the win, pulled from the same immutable records the live tally used.

That matters more than it sounds like a nice-to-have. The people who won tell their friends, and the link they share is your show, working as an ad you did not have to make. When registration opens next season, returning entrants land on a page that proves the count was real and the trophies went somewhere.
