How to start a cars and coffee event

Starting a cars and coffee event should be as easy as the mornings themselves. People roll in, grab a cup, and hang out around the cars, and the last thing you want is to bog it down with forms and fees. You can start a cars and coffee event that stays casual. On Car Show HQ you set up a walk-up kiosk so anyone can add their car in a few taps, and if you want a people's choice award, spectators just scan a QR and vote from their phones. No app, no accounts, and no ballot box. You keep the loose, show-up-and-enjoy feel and still end the morning with a name to call out.

The old way

A morning meet should not need a clipboard

The whole appeal of cars and coffee is that it is low-key. The moment you set out a paper sign-up sheet and a jar of ballots, it stops feeling like a hangout and starts feeling like a job, and you are the one stuck working the table instead of enjoying the cars and the coffee with everyone else.

So most meets skip the award altogether, which is a shame. A quick people’s choice gives regulars a reason to walk the whole lot, meet new owners, and come back next week to defend the win.

The tools that matter most here

For a cars and coffee event, it comes down to zero-friction sign-ups and a fun award only if you want one.

Day-of tools

A walk-up kiosk lets anyone add their car in a few taps, so there is no table piled with paperwork slowing the morning down.

How to start a cars and coffee event in five steps

1

Set a spot and a standing time

Pick a lot with room to park and coffee nearby, then set a regular morning, weekly or monthly, so people always know when to show up.

2

Set up walk-up registration

Put a tablet on a table in kiosk mode so anyone can add their car in a few taps as they arrive. Keep entry free to hold the casual feel.

3

Decide if you want an award

A people's choice award is completely optional. If you want one, it gives folks a reason to walk the whole lot and look at every car.

4

Print windshield cards and open voting

Hand each car a plain card with its own voting QR, and let people scan and vote for a favorite from their phones.

5

Call out a winner and set the next date

Close voting, announce the people's choice, and tell everyone when the next meet is so the crowd keeps growing.

Cars and coffee questions, answered

How do you start a cars and coffee event?

Pick a lot with room and coffee nearby, set a standing morning so regulars know when to come, and spread the word. On Car Show HQ you add a free walk-up kiosk so anyone can register their car in a few taps, which keeps the meet casual with no forms or fees at the gate.

Do you need registration for a cars and coffee?

You do not have to charge or judge anything, but a quick walk-up sign-up helps if you ever want a people's choice award or a headcount. Kiosk registration takes a few taps and keeps the morning feeling like a hangout, not an event.

How does voting work at a casual meet?

It is optional and on site only. Each car gets a windshield card with a QR code, and spectators scan it to vote for a favorite from their own phone. There is no app to download and no account to make, so it never slows the morning down.

How much does it cost to run?

You can start and run a cars and coffee on Car Show HQ for free. If you ever take payments, they run through your own payment account, and we are never the merchant of record.

Can I set a repeating meet up once for the whole season?

Yes. Set the show to repeat weekly, every two weeks, or monthly and the next meet creates itself when the current one ends, carrying your classes, awards, sponsors and entry form across with registration already open. Each occurrence stays its own show, so every meet keeps its own entrants, its own voting, its own Best of Show and its own results page. It builds them one at a time rather than a year ahead, so changing a class or a venue takes effect at the very next meet.
