The gate line just got smarter

Confirmation emails now carry a personal gate pass. One page on a volunteer's phone scans it and answers whether each arriving car is paid, owes at the gate, or is a drive-up, with one-tap collection.

The moment every gate volunteer knows

A line of cars is idling at the entrance. The driver in front pre-paid three weeks ago. The one behind registered but never paid. The third has never heard of your show and wants in. From the gate all three look identical, and the registration table that could sort them out is a hundred feet past the spot where money changes hands.

Shows have invented plenty of workarounds. Colored tickets. A printed list and a highlighter. A volunteer shouting names across the lot toward somebody with a laptop. Gate Mode retires the whole collection.

A pass in every confirmation email

When someone registers online, their confirmation email now includes a personal gate pass: a QR code with a short typed code underneath as backup. Nothing to print and nothing to install. Drivers pull it up at the gate the way they would a boarding pass.

One scan, one verdict

Your gate volunteer opens a single page on any phone. The camera scans passes right in the page, and every scan comes back as a full-screen verdict, color coded and readable across a car hood.

Green means paid, wave through. Amber means collect, with the exact amount owed on screen and a one-tap button to mark it paid once the cash is in hand. Blue means already checked in, which quietly catches the pass that gets scanned twice.

Tapped too soon or scanned the wrong car? Every verdict screen carries an undo button, and the next car is one tap away. A mistake at the gate costs a second instead of an argument.

If glare or a cracked screen beats the camera, the volunteer types the short code or a last name instead and gets the same verdict.

Drive-ups become entries before they park

The car without a pass is the one that used to slow everything down. In Gate Mode it is a short form: type the make and model, collect the day-of fee, tap once. That car now exists as a paid, numbered entry that is already checked in, before the driver has found a parking spot, and your registration table sees it the moment they walk up. The card-writing crew can start hand-lettering the windshield card right away, because the entry already has its number. No receipt to hand over, and no “did you pay at the gate?” an hour later.

The whole morning on one line

At the top of the gate page a counter reads how many cars have arrived out of how many registered, and it climbs all morning. When somebody on the radio asks how it is going, the answer is a glance instead of a guess. It is also the first real attendance number most shows have ever had before lunch: an actual count, not an estimate from whoever parked the most cars.

Designed for the person holding the phone

Gates are run by volunteers, not IT departments, so Gate Mode looks nothing like admin software. The buttons are huge, the words are plain, and there are no menus to wander into between cars. The screens hold up in direct sunlight, and everything important is sized for a thumb that spent the last hour setting out cones. Add it to the phone’s home screen and it opens full screen from that icon, ready before the first car rolls up.
